Description

An Associate Project Manager in the Federal market sector will be responsible for assisting the Managing Principal, Design Manager and Subject Matter Expert with the administrative and financial management of multi-discipline design projects. This person will work in stand-alone and multi-discipline design teams on projects of small to medium scope.

General responsibilities include but are not limited to the following:

  • Partnering with the Design Manager to lead, motivate, and effectively communicate with a project team during scope and project execution.
  • Assist the Managing Principal and Design Manager in developing project presentations to clients, contractors, project team members, authorities having jurisdiction, and members of the public through all stages of the project.
  • Partnering with the Design Manager in the coordination efforts with clients to ensure successful completion of projects that may involve either new construction or renovation.
  • Partnering with the Design Manager to facilitate a professional and successful relationship between client, contractors, and the project team.
  • Preparing effective and concise documents and correspondence such as memos, emails, reports, and other correspondence.
  • Have a client-oriented attitude with a desire to provide outstanding professional services.
  • Be dedicated to his or her professional development as well as the success of colleagues and the firm as a whole.
  • Assist the Design Manager in running project meetings and participating in management meetings.
  • Actively support Market Sector Leaders and Managing Principals in the Company's marketing and business development activities.
  • Assist the Managing Principal and Design Managers with Preparing contracts and fee proposals and participating in contract negotiations.
  • Assist the Managing Principal and Design Managers with Preparing Professional Service Agreements where required for project consultants.
  • Establishing, updating, and maintaining project planning information in Visual Planning, the company's project management software (resources, budgeting, etc.).
  • Coordinating daily staff activities with clients and other 3rd parties.
  • Preparing various project management reports.
  • Preparing for and participating in project review meetings.
  • Communicating with clients, design team members, and others as required.
  • Ensuring staff compliance with quality control policies and procedures.
  • Developing and managing project planning, budgeting, and critical project objectives.
  • Verify project consultants are properly licensed and insured.
  • Assist the Managing Principal with Assembling staff for project teams with input and concurrence from Department Directors, and Department Heads.
  • Preparation and administrative processing of construction Contract Documents.
  • Assisting with the bidding phase of projects, including preparing addenda.
  • Tracking change order proposals and preparing change orders.
  • Preparing for and participating in project construction meetings and others as required.

Project responsibilities include but are not limited to the following:

  • Perform Project Management duties as assigned.
  • Monitor scope/schedule creep for potential additional services.
  • Provide weekly progress reports to the Client.
  • Maintain project documentation in electronic files and Newforma.
  • Assemble and maintain design discipline sheet mock-ups and work plans.
  • Prepare and monitor project budgets and schedules with input from each discipline and consultants.
  • Partnering with the Design Manager to facilitate project team meetings to review project scope, project progress, and schedule issues as well as team coordination, coordination with consultants, and problem solving.
  • Review RFI and shop drawing submittal responses for appropriateness and completeness.
  • Prepare draft monthly invoices, 12-month invoice projections and monitor accounts receivable.
  • Review and approve project related expenses and consultant invoices.
  • Assemble design "milestone" submittal deliverables for the Design Manager to help them ensure completeness and quality of the submittal.
  • Perform project closeout and archiving tasks.
  • Work with the Design Manager to schedule QC/QA reviews.

    Education, Technology, and Experience

    • Post high-school education in the following subjects is desirable:
      • Architecture or Engineering
      • Business Administration
      • Office Administration
      • English
      • Accounting
      • Bookkeeping
      • Financial or Statistical Analysis
    • Associates or Bachelor's degree in a business/accounting/finance-related field is desirable
    • Additional consideration will be given for candidates who have obtained the following certifications:
    • Certified Associate in Project Management (CAPM) or similar accreditation
    • Additional certifications such as CDT, CCS, or CCCA are encouraged to reflect personal growth in the profession and an ever-increasing knowledge base to enhance the design and documentation process
    • An Associate Project Manager should be able to effectively utilize current company software programs for word processing, e-mail, accounting, and information management. Current programs include:
      • MS Word
      • MS Excel
      • MS Outlook
      • MS PowerPoint
      • MS Project
      • MS OneDrive
    • Experience in the use of the following programs is desirable:
      • Visual Planning
      • AIA Contract Documents
      • Newforma Project Center
      • Various other MS 365 Apps (Power BI, Project, Lists, etc.)
    • An Associate Project Manager should typically have a minimum of 2-4 years of relative experience.
    • Prior experience working in an Engineering, Architectural or Commercial Contracting firm is required.
    • Knowledge of A/E Industry and terms commonly utilized.
    • Experience providing services to the Federal Government.

    Security Clearance

    • Must be able to obtain a security clearance and access US military bases.

    Physical Requirements
    Work is sedentary and often performed in an office setting. The work area is lighted, heated, and ventilated. This position may require extended periods of standing, sitting, as well as some repetitive movements, bending and lifting of minimal weight.
